Ashland Garden Club, Inc. Standing Rules

Ashland Garden Club Standing Rules (Revised March 2017)

1. General meetings shall be held on the first Monday of each month with the exception of the September meeting, which shall be held on the second Monday of the month. When the first Monday of the month is a national holiday, then meeting shall be held on the second Monday of the month. 

2. Annual Membership dues are $25.00 for individual/ $35.00 per couple or significant other living in the same household. Annual fees are due by the June meeting. Those joining for the fiscal year, July 1st, or prior to December 31st, will pay a full year’s dues. Those new members joining after Dec. 31st will pay $15.00 for the remainder of the fiscal year.

3. The Ashland Garden Club official flower shall be the Peace Rose, the shrub shall be the Daphne, and the colors shall be Cream & Pink

4. The retiring Club President shall be presented with:

A) The Past President’s Pin, as issued by the National Garden Club

B) OSFGC Life Membership

5. Every garden club member shall serve on a refreshment committee once a year, signing up by the June meeting. If a member is unable to fulfill duties as scheduled, she/he must trade that month with another member and inform the 1st Vice President of the change.

A) Executive Board members shall be exempt from serving as refreshment committee coordinators.

B) Food provided should be the choice of the member and consist of mostly finger foods

C) Committee members shall assist with set up before the meeting and stay until clean up is completed

6. All bills for club expenses must be submitted and paid during the fiscal year. The fiscal year shall date from July 1 to June 30. Non-budgeted expenditures must be approved by the Board of Directors.

7. The Second-Vice Presidents (Programs) will write a note of appreciation to the guest speakers, or entertainers, and will make payment, if appropriate, per the current budget. 

8. Club property or equipment cannot be loaned to any organization or individual. The outgoing and incoming First-Vice Presidents (Refreshments) will take an inventory of non-perishable property during the summer of the years when officers change. A copy of this inventory shall be files with the President.

9. Special Committees are appointed for specific purposes. Their duties will be terminated when their purpose has been completed.

10. Retiring officers and committee chairmen shall promptly transfer club property, written material and Word documents relating to their positions to their successors

11. Membership personal information printed in the AGC Directory and on the AGC Email Distribution List shall be used for Club business only.

12. All board meetings are open and members are welcome to attend.

13. Nominations for Honorary Membership may be made by any member of the club.

14. No Garden Club member who has a relative applying for the AHS Scholarship may serve on the Scholarship Committee.

15. The club shall maintain a written Website policy in the president’s file, which shall be reviewed periodically by an appointed Web Committee.

16. Emails sent to the membership by the President shall be for the purpose of club business only. The President shall designate any others having the authority to send emails to the membership.

17. Announcements at meetings shall be limited to club activities.  

A) Outside events or activities deemed by the President to be consistent with Club objectives and a benefit to the membership may be announced at the general meetings and posted on the club’s website and the bulletin board at meetings. Announcements for the promotion of political agendas or lobbying for causes are  not allowed. 

18. Copies of the Garden Clippings will be available at general meetings for members without emails. 

19. Amendments and additions to the Standing Rules may be made by a majority vote of the Board.
